The Document Control Coordinator is responsible for administering the Project’s controlled documents in accordance with Client & Project requirements based on Company standards
Responsibilities
- Review, catalogue and distribute all consultant drawings, shop drawings and other submittals as required by the Project Manager
- Receive & log all consultants’ drawings, review and distribute as required by P.M.
- Receive and log all shop drawings. Review with PM and distribute
- Provide preliminary review of shop drawings for conformance
- Prepare change notice summaries for owner/construction manager review
- Ensure timely review of submittals by consultant and review
- Scan and database the approved shop drawings. Keep current hard copies and file supersede version
- Take progress photographs and damage/condition photographs
- Follow-up on deficiency lists and assist with scheduling and coordinating subtrades
- Establish / maintain procedures for maintaining documents & change control of documents in accordance with Client, Project & Company requirements
- Determine & enforce document control requirements in order for the Company/Project to meet internal & external needs
- Prepare and administer the presentation of materials both for Tendering purposes
- Review and proofread documents for consistency of document & project format
- Organise the issue of draft proposals for Project Management review
- Incorporate comments as necessary
- Review final document for consistency and accuracy of presentation
- Coordinate the activities of Document Control, including distribution and auditing controlled documents, maintenance of electronic files, tracking & reporting on document progress
- Manage archival activities for controlled documents and validation files
- Use database to track & manage control issued documents. Assign document numbers and various other document tracking numbers
- Evaluate & develop improved techniques for the control of documents
Others:
- Perform additional assignments per supervisor's direction
- Cooperate with the client, project director / manager, design consultants and contractors to meet the overall project goals
- Be responsive to requests for information and services from client, project director / manager, design consultants and contractors
- Provide routine and/or special reports required by the company procedures, operating management, or the client
