Document Control Coordinator/Document Controller

The Document Control Coordinator is responsible for administering the Project’s controlled documents in accordance with Client & Project requirements based on Company standards

Responsibilities

  1. Review, catalogue and distribute all consultant drawings, shop drawings and other submittals as required by the Project Manager
  2. Receive & log all consultants’ drawings, review and distribute as required by P.M.
  3. Receive and log all shop drawings. Review with PM and distribute
  4. Provide preliminary review of shop drawings for conformance
  5. Prepare change notice summaries for owner/construction manager review
  6. Ensure timely review of submittals by consultant and review
  7. Scan and database the approved shop drawings. Keep current hard copies and file supersede version
  8. Take progress photographs and damage/condition photographs
  9. Follow-up on deficiency lists and assist with scheduling and coordinating subtrades
  10. Establish / maintain procedures for maintaining documents & change control of documents in accordance with Client, Project & Company requirements
  11. Determine & enforce document control requirements in order for the Company/Project to meet internal & external needs
  12. Prepare and administer the presentation of materials both for Tendering purposes
  13. Review and proofread documents for consistency of document & project format
  14. Organise the issue of draft proposals for Project Management review
  15. Incorporate comments as necessary
  16. Review final document for consistency and accuracy of presentation
  17. Coordinate the activities of Document Control, including distribution and auditing controlled documents, maintenance of electronic files, tracking & reporting on document progress
  18. Manage archival activities for controlled documents and validation files
  19. Use database to track & manage control issued documents. Assign document numbers and various other document tracking numbers
  20. Evaluate & develop improved techniques for the control of documents

Others:
  1. Perform additional assignments per supervisor's direction
  2. Cooperate with the client, project director / manager, design consultants and contractors to meet the overall project goals
  3. Be responsive to requests for information and services from client, project director / manager, design consultants and contractors
  4. Provide routine and/or special reports required by the company procedures, operating management, or the client
